Agent Admin Role
While the role and responsibilities of an agent admin may vary from one agent or team to the next, the following policies should be adhered to by all agents and their admins at Scenic Sotheby's International Realty.
Unlicensed Agent Admins
The Florida Real Estate Commission (FREC) lists specific activities that may be performed by an agent's unlicensed admin. Those activities include:
- Answer the phone and forward calls.
- Submit listings and changes to any multiple listing service.
- Follow up on loan commitments after a contract has been negotiated and generally secure status reports on the loan progress.
- Assemble documents for closing.
- Secure documents (public information) from courthouse, utility district, etc.
- Have keys made for company listings.
- Write ads for approval of licensee and supervising broker, and place advertising (newspaper ads, etc.); prepare flyers and promotional information for approval by licensee and supervising broker.
- Receive, record and deposit earnest money, security deposits, and advance rents.
- Type contract forms for approval by licensee and supervising broker.
- Monitor licenses and personnel files.
- Computer commission checks.
- Place signs on property.
- Order items of repair as directed by the licensee.
- Prepare flyers and promotional information for approval by licensee and supervising broker.
- Act as a courier service to deliver documents.
- Place routine telephone calls on late rent payments.
- Schedule appointments for licensee to show listed property.
- Be at an open house for security purposes and to hand out materials such as brochures.
- Answer questions concerning a listing from which the answer must be obtained from licensed employer-approved printed information and is objective in nature (not subjective comments).
- Gather information for a CMA.
- Gather information for an appraisal.
- Hand out objective, written information on a listing or rental. The broker shall foster the education.
Licensed Agent Admins
Though licensed agent admins are eligible to perform any activities regarding the sale of real property allowed by Florida Statutes 455 and 475 for their class of license, the extent to which they may perform those activities is a matter of company policy. Licensed agent admins affiliated with Scenic Sotheby's International Realty may not:
- Share comparative market analyses with buyers and sellers.
- Conduct listing consultations and execute listing agreements.
- Conduct buyer consultations and execute buyer brokerage agreements.
- Make cold calls.
- Prospect for new business.
- Appear on marketing materials in association with a property listed for sale.
- Show property to buyers.
- Negotiate offers.
- Communicate with For Sale by Owners.
- Communicate with owners of Expired Listings.
- Receive a percentage or share of a gross commission.
- Receive production credit in MLS.
Furthermore, licensed agent admins may not have:
- An agent profile in Scenic Connect. Agent admins are provided with an Assistant Profile in Scenic Connect. An Assistant Profile does not allow for an agent admin to be associated with a listing or a transaction in Scenic Connect, and does not allow for an agent admin to be invoiced for services or subscriptions in Scenic Connect. An Assistant Profile only allows an agent admin to impersonate their team leader or their team agents and work on their behalf.
- An agent profile in BoomTown.
- A Homebot account.
- An ActivePipe account.
- A Cloud CMA account.
- A Testimonial Tree account.
- A professional account with Zillow, Realtor.com, Homes.com, or any other like kind real estate search portal.
